FUEL AMERICA

Privacy Policy

Last updated: September 23, 2026

Fuel America, LLC (“Fuel America,” “we,” “us,” or “our”) provides this Privacy Policy to explain how we handle personal information through our main website, Fuel America Rewards, the Fuel America Coffee mobile app, related ordering and gift-card services, and communications with our team. Paytronix Systems, Inc. provides technology for our app, rewards, and related services. This policy covers information handled for Fuel America through those services; it does not replace a separate notice that applies to another business’s independent use of information.

Fuel America Franchise, LLC is a separate affiliated company. Its franchise website and inquiry programs have their own Privacy Policy. Individual cafés may be operated by separate franchisees. When you transact with an independently operated café or another business, that operator may also be responsible for your information.

Information we collect and why

The information involved depends on how you interact with us.

  • Questions and support requests. We receive your name, email address, phone number if provided, café or order details, and the contents of messages you send. We use this information to respond, investigate concerns, and provide assistance. If your message includes an allergy or accessibility need, we use that information to address your request. Please share only what is necessary; do not send passwords, full payment-card details, government identification numbers, or medical records.
  • Privacy and account-deletion requests. We receive your name, account email address, request details, and information reasonably needed to verify and complete the request. We use these details to locate records, protect accounts from unauthorized changes, coordinate with service providers, and document our response.
  • Rewards, app, ordering, and gift-card activity. When you use these services, we and our service providers process information such as contact and account details, account identifiers, birthday information you supply for a birthday offer, favorite café, order and transaction history, points and rewards, gift-card activity, and receipts you submit to claim a missed visit. We use this information to administer your account, fulfill purchases, provide rewards and offers, resolve problems, and prevent misuse. Payment information is collected through the relevant checkout and payment services; the main marketing website does not have its own payment-entry form.
  • App features and device information. Depending on the app features and permissions you use, information may include precise or approximate location, app interactions, device identifiers, and crash or diagnostic information. Location supports nearby-café features and relevant local experiences or offers. App activity and diagnostics support functionality, improvement, and communications. You can manage available location and notification permissions through your device settings. Providing a receipt for a missed visit shares the information visible on that receipt.
  • Website operation and security. Our website and hosting services process information such as IP address, browser and device details, requested pages, and timestamps to deliver content, maintain availability, diagnose errors, and prevent abuse. The account-deletion form uses a short-lived, coded network identifier to limit repeated submissions.
  • Website preferences and optional analytics. We store your privacy choices and selected motion preference on your device. When enabled and if you allow analytics, Google Analytics, delivered through Google Tag Manager, can process browser identifiers, device information, page visits, and selected interactions, such as choosing a café or following an ordering link. This helps us understand website use and improve the guest experience. Our website measurement is designed to exclude names, email addresses, telephone numbers, form entries, and account, payment, and order details. Analytics identifiers and browsing data may still be personal information.
  • Optional website advertising. When an advertising tool is active and you allow Marketing, the tool can collect online identifiers, IP address, browser and device information, pages visited, advertising-referral information, and selected interactions. We use these signals to measure campaigns, reach interested visitors again, and improve ad delivery. Our Cookie Policy describes the optional Meta and Google advertising tools we may use. Their use can vary by page, feature, or campaign and remains subject to your privacy choices.
  • Public feedback. We may display selected public guest reviews with the review wording, café, date, limited public reviewer name, and a link to the source. These are selected testimonials, not a complete collection of reviews.

Information comes from you, your browser or device, public review sources, and the service providers or café operators involved in the service you use. We may connect account and transaction information to deliver rewards or resolve a support request. The main marketing website does not provide public account registration, public comments, or guest file uploads; receipt uploads occur in the separate app or account service.

How we disclose information

We disclose information as reasonably needed to:

  • Service providers supporting hosting and security, email and records, customer support, payments, ordering, rewards, gift cards, and consent-based website analytics. These include WP Engine for website hosting, Microsoft services for business communications and records, Paytronix for relevant guest programs, and Google for optional website analytics.
  • The café operator and relevant Fuel America personnel or affiliates when needed to fulfill an order, administer a program, or resolve your request. Franchise inquiries directed to the franchise company are handled under its separate notice.
  • Professional advisers, insurers, authorities, and other appropriate recipients when needed for legal obligations, fraud prevention, safety, disputes, or protection of rights.
  • Parties to a business transaction, such as a merger or asset transfer, subject to applicable law and appropriate safeguards.
  • Other recipients at your direction or with your permission.

When permitted website advertising is active, we also disclose the online identifiers and activity described above to the advertising partners listed in our Cookie Policy, including Meta or Google as applicable. Those partners may combine this information with information they hold from their own services or other sources, including to connect activity to an account and personalize advertising under their own policies. We do not send the contents of support or deletion requests, passwords, full payment-card details, or allergy and accessibility information to website advertising tools.

A provider may process information on our behalf, independently for its own services, or in both roles. Using a provider does not remove Fuel America’s responsibility for information processed on our behalf.

Linked services

Our website links to ordering and delivery services, including Order Experience/Paytronix and DoorDash/Order.online; ezCater; our Shopify coffee shop; Paytronix rewards and gift-card pages; Apple and Google app stores; maps and social networks; and the Fuel America franchise website. Café purchases may also involve Toast point-of-sale services. The provider or operator identified at the destination supplies its applicable notices and transaction terms.

Following a link can share ordinary connection information, such as your IP address and browser information, with the destination. Your choices on our main website do not automatically apply to another website, our app, or a provider’s service. Review the controls offered there. See Paytronix’s service-provider privacy policy for information about its processing on behalf of brands.

Website cookies and advertising choices

Essential website functions remain available when you reject optional tracking. Analytics and Marketing are separate choices, and each remains off unless you allow it. Use Your Privacy Choices in the footer to change or withdraw permission. Our Cookie Policy describes the tools we may use, their purposes, and storage information.

When active, Meta Pixel and Google advertising tools may help us measure whether an ad leads to a website action, show ads to people who have visited relevant pages, and improve delivery to audiences likely to be interested in Fuel America. Following an ordering, rewards, catering, or franchise link is an expression of interest; it does not by itself establish a completed purchase, enrollment, or inquiry.

Disclosures to advertising partners for these purposes may be considered a “sale,” “sharing,” or “targeted advertising” under applicable privacy laws even when no money is exchanged. You can opt out of this website activity by turning Marketing off in Your Privacy Choices, choosing Reject optional, or using a supported Global Privacy Control signal. You do not need an account to make that website choice. For other information or services, email us with the subject Privacy Opt-Out and identify the service involved.

We recognize Global Privacy Control as a request to keep website marketing tracking off, including when it conflicts with a previously saved marketing choice. The signal does not itself turn off analytics you have separately permitted. We do not separately respond to older Do Not Track browser signals. You can reject analytics through our controls regardless of whether your browser sends a signal.

These browser controls apply to the main website. App permissions, program communications, the coffee shop, and the franchise website have separate controls. This policy’s website-advertising description does not include uploading customer contact lists for audience matching, sending hashed contact information through enhanced-conversion tools, or recording browsing sessions. We will review and update the applicable disclosures and choices before introducing a materially different use.

Communications and app permissions

To stop marketing emails, use the unsubscribe option in the message or email us. We may still send non-promotional messages needed to complete a request, protect an account, or provide a service. Website cookie consent is not consent to receive marketing emails, telephone calls, or text messages.

Control app notifications, location access, and other available permissions through your device or app settings. Turning off a permission may affect the feature that needs it. Uninstalling the app does not delete your account. Any text-message enrollment is governed by the separate consent and terms presented when you enroll; visiting this website or sending a privacy request does not enroll you.

Retention and security

We retain personal information for the time reasonably needed for the purpose for which it was collected, including providing services, maintaining account and transaction records, responding to requests, preventing fraud, resolving disputes, and meeting legal obligations. The period depends on the record, whether an account or issue remains active, legal requirements, and any valid preservation obligation. Cookie and device-storage periods are described in our Cookie Policy and are separate from the retention of information already received by a provider.

When information is no longer needed, we delete it or de-identify it, subject to legitimate backup and legal retention requirements. We use reasonable administrative, technical, and organizational safeguards. No method of transmission or storage is completely secure.

Privacy requests and rights

You may contact us to request access to, correction of, or deletion of your personal information. Depending on your location and the law that applies, you may also have rights to obtain a portable copy; learn about recipients of your information; opt out of sale, sharing, targeted advertising, or certain profiling; limit specified uses of sensitive information; or appeal a decision on your request. These rights may have exceptions.

Email info@fuelamerica.us with the subject Privacy Request, or write to the address below. Identify the service involved and the email associated with your account. For app or rewards account deletion, you may also use our Data Deletion Request. You do not need to create a new account to make a request.

We may ask for information reasonably necessary to verify your identity or an authorized agent’s authority. Please do not send identification documents unless we request them through an appropriate channel. Opt-out requests do not require identity verification where the law prohibits it. We will respond within the period required by applicable law and explain any denial or permitted extension. Where you have an appeal right, reply to our response or email us with the subject Privacy Appeal. We will explain the result and any available complaint process. You may also contact your state attorney general or other applicable privacy regulator.

We will not unlawfully discriminate against you for exercising a privacy right. Some information is necessary to provide an account, fulfill an order, or administer rewards; deleting it may prevent us from continuing that particular service. Our deletion page explains how account closure is handled.

Children

Our website and guest programs are intended for a general audience and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information without appropriate authorization, contact us so we can investigate and take appropriate steps. A mobile app store’s content rating is not a statement that a child is eligible to create an account.

Where information is processed

Fuel America operates in the United States. Our providers may process information in the United States or other locations where they operate. Privacy protections may differ by location. Where applicable law requires safeguards for a transfer, those requirements continue to apply.

Changes and contact

We will post updates on this page and change the revision date. For material changes, we will provide additional notice or obtain consent when required. An update does not remove rights or obligations that apply to information previously collected.
